Women and Children’s Services Assistant Manager
Essential Duties and Responsibilities:
Provide daily supervision of Mothers & Children’s Center (MCC) guests and operations. (Mothers and Children’s Center will have capacity of 24-34 overnight guests). Provide key administrative support and assistance to the Women & Children’s Services Manager in both the MCC and WC.
1. Provide direct supervision of guests in the MCC and support to staff in both Centers.
Effectively assist in managing operations, guest activities and overall programs to meet agency mission.
Meet with guests to answer questions, de-escalate situations, and settle grievances.
Register and check out guests and update records as needed to reflect this.
Serve as daytime MCC point of contact with DHS, police officers, CAHOOTS, and other agencies as appropriate.
Process UA’s and alcohol swabs before check-in and randomly.
Maintain accurate records in Excel and Service Point, answer phones.
Distribute clothing and personal items as needed to guests.
Refer guests to Supportive Services staff and/or Women and Children’s Center Manager as needed.
Participate in the on-call rotation and vacation coverage.
Adhere to agency policy, procedures and the professional code of ethics.
2. Provide key and close administrative/operational assistance to Women and Children’s Services Manager:
Administrative support in preparing and distributing informational packets, brochures, schedules, forms and policies and procedures as assigned.
Work with Manager to ensure compliance, safety, organization and consistent implementation of procedures among staff and guests.
Ensure logs and other record keeping systems are maintained.
Participate in coordination and training of volunteers.
Work closely with Manager to monitor facilities, identifying and resolving health and safety hazards.
Aid Manager in the development of inventory checklists and coordination with Warehouse Staff to ensure that MCC kitchen and clothing rooms are properly stocked at all times.
Assist Manager to maintain a professional culture that promotes teamwork and empathy for guests
Ensure staff complete assigned work and tasks to expectation.
Assist Women & Children’s Center Manager to ensure HMIS (Service Point) data are clean and accurate.
Visual inspection of all WCC areas for safety and cleanliness.
Participate in weekly staff meetings Serve as back-up to Women & Children’s Center Manager Perform other duties as required.
Education, Skills, and/or Work Experience Requirements:
Bachelor’s degree in a Social Work related field preferred.
Robust administrative and organizational skills.
Demonstrated communication skills, both oral and written.
Ability to be flexible and adaptable to change.
Strong ability to multitask.
Ability to handle stressful situations with calm demeanor and ability to de-escalate volatile individuals.
Must have strong emotional and interpersonal intelligence.
Possess solid personal and professional boundaries.
Excellent attention to detail.
Proficient in Microsoft Office Suite applications and ability to learn additional software programs
Valid Oregon driver license and a satisfactory driving record.
Experience working with the homeless community and/or individuals facing mental health challenges.
Ability to work in an openly Christian work environment; not deterring the Eugene Mission’s Statement of Faith.
Ability to embrace and endorse the Eugene Mission’s mission statement: To demonstrate God’s love by compassionately providing emergency services and long-term solutions to help our homeless neighbors transition back into the community with gainful employment, sustainable income and stable housing.
Ability to walk around the Center, grounds, and campus
Ability to sit for long periods of time at a computer and desk
Ability to lift up to 25 lbs. regularly; 50 lbs. on occasion
Ability to kneel, squat, bend frequently
Must be able to talk, listen and speak clearly on telephone
